Workspaces, members and access

Workspace administrators use this area to control membership, module rights and shared communication settings.

Workspace settings

Open the workspace action menu and select Settings. Administrators can update the workspace name and image and configure workspace-level email and SMS behavior used by features such as guest communication.

SettingPurpose
Name and imageIdentifies the workspace in the portal and navigation.
Email senderDefines the visible sender name and reply-to address for workspace-generated messages.
SMS gatewayStores the licensed provider configuration used to deliver text messages. Credentials are protected and can be tested from settings.

Add a member

  1. Open the workspace menu and select Members & Rights.
  2. Add the email address connected to the person's Falcon account.
  3. Assign one or more access groups.
  4. Save, then ask the member to reopen or refresh the workspace.

Design access groups

An access group combines module permissions with optional production visibility rules. For each module, choose the least access needed:

Full access

The member can read and change records, subject to record-specific rules.

Read-only

The member can open and review records but cannot create, edit or delete them.

No access

The module is hidden and its data is excluded from dashboards and searches.

Production filters can further limit which productions a group may access. A member with several groups receives the combined access allowed by those groups.

Administrator safetyKeep at least one trusted workspace owner or administrator with access to workspace settings and member management. Review access when staff responsibilities change.

Remove or change access

Edit the member's group assignments for a role change. Remove the workspace membership when the person should no longer enter the workspace. Membership and Staff are related but separate: membership controls application access, while Staff stores the operational profile.
