Check Out and Put Back

The handover workflow records which booked items leave, which return, their condition and the location where they are put back.

Before handover

  • Confirm that the booking dates, status and manifest are correct.
  • Attach the correct resource label to every physical item.
  • Make sure the operator has write access to Bookings and the relevant resource modules.

Check out resources

  1. Open Check Out & Put Back and select the Check Out tab.
  2. Choose previous day, today or next day, then find the booking. Use My bookings when useful.
  3. Open the booking and scan each resource QR or barcode.
  4. Confirm the identified item and continue until the progress indicator matches the physical handover.
  5. Add a condition note when an item leaves with a known issue.

Put resources back

  1. Switch to Put Back and select the booking.
  2. Choose a return location or scan a printed location label.
  3. Scan each returned resource and confirm its condition.
  4. If the next item has a fault, enable Send next item to maintenance before scanning it.
  5. Finish only when the screen and physical count agree.

Correct a scan

Use Undo for the most recent mistaken handover action, then scan the correct item. Review booking history when a discrepancy must be investigated.

Do not scan labels in bulk away from the assetsThe scan is an operational handover record. The operator should identify the physical item, condition and location at the time of the action.

Kiosk mode

Kiosk mode provides a focused handover station for repeated scanning. Configure the logged-in account and physical scanner according to your local security process, and do not leave an authorized session unattended.
